Facilities management as a service (FMaaS): What is it?

Facilities are divided in two categories:

  • Facilities Management:  where a company offers facilities management as a service, and;
  • Facilities Services: where a company offers one or more service for building fabric and/or fixed assets, or one or more services that comes in the support of the core business (cleaning, maintenance, grounds keeping, etc);

Why and when is recommended to outsource the facilities management?

Managing buildings and support services effectively requires an adequate strategy that is run sustainably and safely. Since each organisation has different dynamics in operations for delivering the core business, having a professional company to rely on is crucial. When your organisation needs reliability, outsourcing the facilities management could be the best option. We understand those needs and this is why ATLASICA® is committed to providing reliable facilities management as a service to support organisations using the best practices in the industry.

Could a facilities services company also provide with facilities management as a service?

In our view, no. But it happens. The reason behind this answer is because your organisation will not benefit of a transparent market testing when it comes to choosing service providers. Your organisation will almost never receive value for money, and if you receive it, you wouldn’t know.  Allowing a facilities service provider to manage your facilities is a clear conflict of interest. Having a company to offer you facilities management as a service will probably cost you a bit more, but usually you will recover the money from good negotiations with the facilities service providers and by providing extended facilities support. Typically, a facilities service provider would not have an interest in managing a service that is not provider by them or through them.

What service do we offer?

Facilities Management as a Service. We ensure that the facilities services providers are carrying their work according to a Planned Preventative Maintenance Schedule that we build for your organisation or to an exiting one. We operate your building equipment on a daily basis to support your organisational needs and act in emergencies.

What type of services can we manage on your behalf?

  • All building related services: Building Management (building fabric and the maintenance of mechanical and electrical assets in line with the manufacturer’s recommendation or SFG20 standard,
  • Compliance with all the statutory requirements, including the management of fire safety, legionella, asbestos, first aid, construction design and management (CDM), environmental, electrical safety, welfare facilities, control of substances hazardous to health (COSHH), gas safety, provision and use of work equipment (PUWER), reporting of injuries, diseases or dangerous occurrences (RIDDOR), etc.
  • Budget management, P&L analysis (for buildings maintenance contracts, IT, cleaning, catering and other support services)
  • Contracts and procurement management in line with the organisation’s policies and procedures or any governmental procurement scheme, with the goal of obtaining the best value for money
  • Management and supervision of the contractors and the allocated works
  • Management of the business continuity plan/disaster recovery plan
  • Management of health and safety, including emergency response (critical incident plan)
  • Management of small and medium projects, including programmes of projects
  • Management of human resources and their performance, such as facilities assistants, caretakers, cleaners, kitchen staff, receptionists, admin and IT.

Is that all?

No. let’s divide the facilities management in two categories: Hard Services and Soft Services. This will give you a better indication on what a facilities management as a service looks like:

Hard Facilities Services

Most of these services are provider by external competent service providers. Our role is to ensure that these services actually happen and are carried out as per the manufacturer’s instruction. These services partially form the Planned Preventative Maintenance Schedule;

  • Mechanical and Electrical (e.g. Boilers, Gas-Fired Water Heaters, Hot Water Cylinders, Pumps, Pressure Vessels, Distribution Boards and Fixed Wired Electrical Systems)
  • Plumbing, Drainage and Water Systems (including managing the Legionella Risk)
  • Commercial Kitchen Appliances and Gas Safety (Hobbs, Ovens, Refrigeration Systems, etc.)
  • Heating, Ventilation and Air Conditioning (HVAC)
  • Fire Safety Systems
  • Intruder alarms and security systems
  • Automatic gates
  • Building Fabric and Structures (including asbestos and external platforms)
  • And Reactive Maintenance where mechanical failure occurs or devices or systems reach the end of life.

Soft Facilities Services

Most of these services are provided by external competent service providers. Our role is to ensure that they provide the service as per your organisational needs, at an agreed quality and we manage their performance on your behalf.

  • Cleaning of the building interiors (Supervision, Direct Management or Manage Contractor’s Performance)
  • External cleaning, including glass, graffiti removal and pressure washing
  • Estate grounds maintenance and landscaping (Supervision, Direct Management or Manage Contractor’s Performance)
  • Management and vetting of contractors
  • Keyholding, opening and closing the building
  • Washrooms Management
  • Pest Control and Waste Management
  • Portering and deliveries management
  • Furniture repairs and recondition

In-house services:

These are services that can be done in-house by either appointed staff (caretakers, premises assistants, handy-men, etc.,):

  • Operating on your building equipment (eg., BMS, HVAC, Boilers, Distribution Boards, Fire Alarms, Intruder Alarms, Access Control Systems, CCTV, and many other mechanical and electrical equipment.)
  • Compliance checks: Daily, Weekly, Monthly, Quarterly, Bi-annual and Yearly Checks
  • Planned preventative maintenance (non-mechanical, non-electrical)
  • Minor repairs
  • Manual handling and portering
  • Etc.,

Do we provide with on-site staff?

Yes. Unless you have a qualified staff member that can operate on all the building equipment, we rather have a staff member of our own. We are happy to discuss hybrid and remote options as well, as long as it benefits your organisation and there are no risks involved.
